Apostille Services: Standard vs. Expedited — What's the Real Difference?
Servicios de Apostilla: Estándar vs. Urgente — Cuál es la Diferencia Real?
Let's Talk Notary Series | Liz L Mobile Notary
If you've spent any time searching "apostille Las Vegas" or "apostille Henderson NV," you've probably noticed something frustrating: every website quotes a different price and a different timeline. One site says four weeks, another says eight. One quotes $95, another quotes $500. None of them explain why.
Here's the truth: apostille service isn't one flat product. It's a tiered process, and the tier you choose changes both your cost and your timeline dramatically. As someone who handles apostille courier services to the Nevada Secretary of State. I want to walk you through exactly how this works so you can pick the right option instead of overpaying, or worse, missing your deadline.
First, What Is an Apostille Actually?
An apostille is a certificate that authenticates the signature and seal of the official who signed your document most commonly a notary. It tells a foreign government, "this signature is real, this seal is legitimate," so your document can be used internationally without additional embassy legalization.
A few things it does not do:
- It doesn't validate what's written inside your document.
- It only works for the 129 member countries of the 1961 Hague Apostille Convention. If your destination country isn't a member, you'll need embassy legalization instead a different, longer process entirely.
- It doesn't fix a document that's improperly notarized. If the underlying notarization is wrong, the apostille request gets rejected, no matter how much you paid for speed.
That last point matters more than most people realize, and I'll come back to it.
The Three Real Service Tiers
1. Standard State Processing
This is the baseline option. You (or someone on your behalf) submit your notarized or certified document directly to the Nevada Secretary of State, pay the standard filing fee, and it enters the state's normal processing queue.
This is the slowest path. Depending on current state volume, standard processing timelines can run anywhere from several weeks to a couple of months. There's no way to speed this up other than paying for an expedite tier — the state processes standard requests in the order they arrive.
Best for: documents with no hard deadline, and situations where budget matters more than speed.
2. Expedited State Processing
Nevada offers multiple expedite tiers directly through the Secretary of State's office 24-hour, and faster emergency tiers for same-day or near-same-day processing. Each tier adds a fee on top of the standard filing fee, and the faster the tier, the steeper the cost.
Here's the part almost nobody mentions when they're selling you on "expedited service": even expedited documents are returned by standard mail unless you specifically provide a prepaid, trackable return envelope. I've seen people pay premium pricing for the fastest possible turnaround at the state office, only to lose an entire extra week waiting for their apostilled document to arrive back in a regular envelope. If you're paying for speed, the return method has to match, or you're wasting money.
Best for: documents with a real but not immediate deadline a few weeks out.
3. Coordinated Courier Service
This is the tier most people don't know exists until they're already stressed about a deadline and it's the core of what I offer.
Instead of mailing your document into a government queue and hoping it doesn't come back rejected, a coordinator manages the entire submission on your behalf:
- Pre-submission audit: checking your document before it goes anywhere, so it doesn't get bounced back for a technicality
- Hand-delivery: skipping mail transit time on the way in
- Correct tier selection: matching the expedite level to your actual deadline, instead of over- or under-paying
- Trackable return coordination: making sure your expedited document actually comes back on an expedited timeline
Best for: real deadlines, documents that have already been rejected once, or anyone who'd rather not navigate state forms and mailing logistics themselves.
So which one do you need?
| Your situation | Best fit |
|---|---|
| No deadline, budget-conscious | Standard processing |
| Deadline in a few weeks | Expedited state processing |
| Deadline this week, or document has already been rejected once | Coordinated service |
| Document isn't notarized yet AND you're on a deadline | Mobile notary + coordinated apostille submission, same visit |
The #1 mistake I see
People pay for the fastest possible expedite tier, then submit a document that gets rejected anyway because of an expired notary commission, an incomplete notarial certificate, a missing county-level certification, or the wrong destination country listed on the form. When that happens, you don't just lose time. You are starting over from zero, now even closer to your deadline than before.
The pre-submission audit isn't a nice-to-have. If you're on a real timeline, it's the single most important part of the process more important than which expedite tier you choose.
