5 Documents You Didn't Know Need to Be Notarized
You'd be surprised how many times I get a call from someone in a panic because their paperwork got rejected not because anything was wrong with the information, but simply because it wasn't notarized. It happens more than you'd think, and honestly, it's not your fault. Nobody hands you a rulebook when life gets complicated.
As a mobile notary serving clients, I've sat at kitchen tables, hospital bedsides, hotel lobbies, and office conference rooms helping people get their documents in order. And over and over again, I see the same documents catch people off guard.
So let's talk about it. Here are 5 documents that people often don't realize need to be notarized and why getting it done before you need it can save you a lot of stress.
1. Child Travel Consent Forms
This one surprises families all the time. If your child is traveling internationally or even domestically without both parents present, you may need a notarized travel consent letter.
Whether it's grandma taking the grandkids on a cruise, a school trip out of the country, or one parent traveling alone with the kids while the other stays home, border agents and airlines can ask for it. And if you don't have it? That trip might not happen.
I've helped many families get this taken care of quickly, often with same-day appointments right at their home. Don't wait until the week before travel plan ahead and have peace of mind.
2. Minor Passport Consent Forms
If both parents don't show up together to apply for a child's passport, the absent parent needs to provide written, notarized consent. This is a federal requirement no exceptions.
This is a federal requirement which means it applies right here in Nevada, just like everywhere else in the U.S.
If both parents can't show up together to apply for a child's passport (for kids under 16), the parent who isn't there needs to sign Form DS-3053 in front of a notary. No exceptions. And here's the part people don't always know you can't sign it ahead of time. It has to be signed right there in front of me, and it's only valid for 90 days from the date of notarization, so timing matters.
It's one of the most common last-minute calls I get. Someone is already at the passport office and just found out they need this done before they can move forward. I always do my best to help, but trust me scheduling this ahead of time makes everything so much smoother.
3. Advance Healthcare Directives & Living Wills
I know nobody wants to think about this one. But I'll tell you from experience, having this conversation with my clients is one of the most important things I do.
A healthcare directive or living will tells medical professionals and your loved ones what you want if you're ever unable to speak for yourself. Without notarization, many hospitals and care facilities won't honor it and that can put your family in an incredibly difficult position during an already hard time.
Getting it notarized is a gift to the people you love. I can come to you, sit with you, and make the process as easy as possible. You don't have to leave home for this.
4. Vehicle Bills of Sale
Nevada doesn't legally require a notarized bill of sale to transfer a vehicle but hear me out, because there are situations where not having one notarized can create real problems.
If you're financing through a bank or credit union, most lenders won't process the loan without it. If the buyer is from out of state, their home DMV may require it. And if the title is missing, the Nevada DMV may ask for a notarized bill of sale to move the process forward to prevent fraud.
Even in a straightforward private party sale, having it notarized puts everything clearly on record — who sold what, when, and for how much. It's a small step that costs very little and can save both the buyer and seller from a big dispute down the road.
5. Affidavits & Sworn Statements
An affidavit is a written statement you're swearing is true and in most cases, it needs to be signed in front of a notary to be valid.
These come up in all kinds of situations: legal disputes, name changes, immigration paperwork, insurance claims, landlord-tenant issues, and more. If someone has asked you to provide a sworn statement of any kind, there's a good chance a notary needs to be involved.
